How to Sync Airbnb, Vrbo & Booking.com Automatically Without Double Bookings

There are two ways to sync Airbnb, Vrbo and Booking.com: free iCal calendar links, which refresh on each platform's own schedule (Airbnb's help centre says every 3 hours, Vrbo says every 30 minutes), or an API-connected channel manager, which pushes changes directly. iCal is fine for a quiet single listing; a channel manager is the safer choice once double bookings would be costly. Here is how to set up both and what each still cannot do.

Key takeaways

  • Airbnb's help centre says it refreshes imported calendars automatically every 3 hours; Vrbo's help centre says imported calendars sync every 30 minutes. Both leave a window in which the same night can be booked twice.
  • iCal carries availability only. It does not sync prices, messages, guest details or listing content.
  • Vrbo does not let you import calendars if your property is managed through third-party property management software, so an API channel manager replaces iCal rather than adding to it.
  • Booking.com's Partner Hub says: "Our platform automatically imports any connected calendar every two hours." The same page requires that "Your property has 20 room types or fewer" and that "Each room type has a maximum of one unit."
  • A channel manager with an API connection removes the polling delay, but you still need a buffer between bookings and a weekly check.

Quick recommendations

  • Best for one quiet listing

    Hospitable

Free tier includes multi-channel sync across Airbnb, Vrbo, Booking.com and Agoda, so you can skip iCal links.

  • Published price for 1–3 listings

    Guesty

Lite plan with channel management is listed from $9 per listing per month.

  • Growing portfolio

    Hostaway

Channel manager with Airbnb, Vrbo and Booking.com partner designations; quote-based pricing.

  • Direct booking site plus sync

    Lodgify

Listed by Airbnb as a Preferred+ software partner.

The safest way to sync Airbnb, Vrbo and Booking.com is a channel manager with direct API connections to each platform. The free alternative, iCal calendar links, does work, but each platform refreshes the other's feed on its own schedule, and that gap is where double bookings come from. Airbnb's help centre says its calendars refresh every 3 hours; Vrbo says imported calendars sync every 30 minutes. If a guest books the same night on another site in between, nothing stops it.

This guide explains both methods, gives the setup steps for each, and is clear about what is verified. It is based on the platforms' help pages and vendor documentation, not hands-on testing.

What iCal does and does not do

An iCal feed is a list of dates marked unavailable. Airbnb's help page says it syncs booked nights, blocked dates and availability settings such as preparation time and advance notice, and imports up to two years. It also says blocks and settings from other websites "may or may not be blocked on Airbnb". It does not carry prices, guest names, messages or reviews.

Three limits are worth knowing:

  • Delay. Airbnb refreshes imported calendars automatically every 3 hours; a manual Refresh button exists, but too many manual refreshes mean waiting for the next cycle. You also cannot pause a sync: Airbnb says you must disconnect and reconnect a calendar to stop it.
  • Vrbo restrictions. Vrbo says calendars sync every 30 minutes, lets you import up to five calendars per property, and shows events up to the next 365 days. It also says you cannot import calendars if your property is managed through third-party property management software.
  • Booking.com. Booking.com's Partner Hub page, How to synchronise your calendars across channels, says: "Our platform automatically imports any connected calendar every two hours, but you can manually update the imported data by clicking Import now." Its FAQ says calendars "aren't synced in real time and can take up to two hours to refresh." Eligibility on that page includes "Your property has 20 room types or fewer" and "Each room type has a maximum of one unit."

The practical result is that the slowest feed sets your risk. Airbnb states a 3-hour refresh. Booking.com says it imports any connected calendar every two hours, and that changes can take up to two hours to refresh, so the overlap window can still be several hours.

How an API connection differs

Airbnb works with software providers through a partner programme. It lists Preferred+ partners that include Guesty, Lodgify, OwnerRez, Hostaway and Uplisting, and Preferred partners that include Smoobu. Those tools use an Airbnb-approved connection rather than your calendar link. Hospitable says it holds Preferred+ status and uses a two-way Airbnb API connection that syncs bookings, availability, pricing, guest messages and listing details "in real time".

Airbnb does not offer a public API for individual hosts. Access is partner-only, so you reach the API by using an approved vendor, not by building your own. That is also why hobby scripts and scrapers are a poor substitute: Airbnb's terms prohibit bots, crawlers and scrapers.

Step by step: set up iCal sync

Use this if you have one or two listings and bookings are infrequent.

  1. Decide the "master". Pick one platform where you will make manual blocks, and remember that blocks made elsewhere may not travel.
  2. Export from Airbnb. In Airbnb's calendar settings, copy the export link ("Export calendar"). It is a URL ending in .ics.
  3. Import into Vrbo. In the Vrbo Owner Dashboard, add an imported calendar and paste the Airbnb link. Vrbo allows up to five per property.
  4. Export from Vrbo and Booking.com. Copy each platform's export link.
  5. Import them into Airbnb. Add each .ics URL under Airbnb's import calendar option. Airbnb will pull them in on its 3-hour cycle.
  6. Import links into Booking.com. Use the Sync calendars box in the extranet.
  7. Add buffers. Use preparation time and advance notice so a late booking is less likely to collide.
  8. Test. Block one night on a platform, wait the stated interval and confirm the block appears everywhere. Do this again after any platform change.
  • Airbnb: import under Calendar, Availability, Connect calendars. Airbnb says only two years of data sync, that you cannot pause an imported calendar (only disconnect and reconnect), and that each platform has different blocking procedures.
  • Vrbo: import under Settings, Availability, Connect calendars, Manage imported calendars. The link must start with https:// (change webcal if needed), the calendar name can be up to 30 characters, and newly imported events can take up to 20 minutes to appear. Vrbo accepts only .ics files, requires imported calendars to block unavailable dates, and shows events for the next 365 days. It also lets you export your own calendar.
  • Booking.com: the Partner Hub page says you find the room or unit under Rates & Availability, then Sync calendars, and add a calendar connection. It says the platform "automatically imports any connected calendar every two hours." Calendar sync requires a property with "20 room types or fewer," and "Each room type has a maximum of one unit."

Step by step: move to a channel manager

Use this for three or more listings, any listing on three channels, or whenever a double booking would cost real money.

  1. Pick the software. Start with the Hospitable vs Guesty vs Hostaway comparison or the property management software roundup. Options that Airbnb lists as partners include Guesty, Hostaway, Lodgify, OwnerRez, Smoobu and Uplisting; Hospitable states that it holds Preferred+ status, and Hostfully is another option whose Airbnb partner tier we did not verify.
  2. Remove the iCal links first. Delete imported calendars on each platform so old feeds do not contradict the new connection. Vrbo also blocks calendar import when third-party software manages the listing.
  3. Authorise the Airbnb connection. The software redirects you to Airbnb to approve access. Never share your Airbnb password directly with a tool.
  4. Connect Vrbo and Booking.com through the same software, then map each listing to its counterparts.
  5. Check the import. Compare future bookings in the software with each platform. Reconcile any mismatches by hand before switching on anything automatic.
  6. Set availability rules. Gap nights, minimum stays and turnover buffers belong in the software now.
  7. Run a controlled test. Place a test block, confirm it appears everywhere, then remove it.

Prices differ widely. Guesty lists Lite from $9 per listing per month for 1–3 listings (as of Oct 2026). Hospitable has a free Essentials tier with multi-channel sync, with paid plans priced interactively. Other vendors' prices were not verified for this article, so check each pricing page.

Cautions when choosing a channel manager

  • Check Airbnb partner status. Airbnb lists software partners by tier, and Hospitable notes that Airbnb is not accepting new requests for API access and that the vetting is a multi-year process. In practice that means the set of approved tools is limited, so confirm any vendor you consider is on Airbnb's list rather than trusting a claim on its own site.
  • Ask what syncs. Availability is the minimum. Some tools also carry rates, messages, listing content and reservations. Ask which are two-way.
  • Ask how conflicts resolve. If the software finds a booking on two channels, what happens, and who is alerted?
  • Ask about Booking.com and Vrbo specifically. Airbnb's partner list covers Airbnb; confirm the other connections separately.
  • Plan the migration. Move one listing first, compare calendars for a few days, then migrate the rest.

A worked example of the polling gap (illustrative)

Suppose a guest books the weekend on Vrbo at 10:00. Airbnb's help centre says imported calendars refresh every 3 hours; if the next refresh falls at 12:30, an Airbnb guest could book those nights at 11:00 and nobody would be warned. That is a two-and-a-half hour window created by one polling cycle. We invented the clock times to illustrate the mechanism; the 3-hour figure is Airbnb's stated interval. A listing with a one-night buffer on each side would not stop this collision, it would only protect the turnover on either end, which is why buffers and sync speed are different controls.

If a double booking happens

  1. Check the timestamps to see which booking came first.
  2. Contact both guests promptly and honestly; do not wait for them to find out.
  3. Find an alternative, such as another of your listings or a comparable nearby place, and offer to cover reasonable costs.
  4. Read the cancellation policy on the platform where you will cancel before you cancel, since host cancellations can carry penalties.
  5. Fix the cause. Shorten the sync gap, switch to API sync, or add a longer advance-notice setting.

Diagnosing sync problems

SymptomLikely causeWhat to try
A block on one site does not appear on anotherAirbnb says blocks from other sites may not carryBlock the dates on every platform, or from your channel manager
New booking missing after an houriCal polling intervalUse the manual refresh button, then plan to move to API sync
Link rejected by VrboURL starts with webcal or is not .icsChange to https:// and confirm the file type
Imported calendar cannot be added on VrboProperty managed through third-party softwareUse the software's connection instead
Old bookings keep blockingStale imported calendarDisconnect and reconnect the calendar
Wrong room blocked on Booking.comExport link from the wrong room typeRe-export from the correct room type

Common mistakes

  • Relying on iCal for high-demand dates. Weekends and holidays are when the polling gap bites.
  • Running iCal alongside an API connection. Remove old feeds when you switch.
  • Forgetting that blocks may not carry. Airbnb warns that other sites' blocks and settings may not all be reflected.
  • Not testing after changes. Re-test after changing a listing, relinking an account or changing software.
  • Ignoring the cancellation penalty rules. If a double booking happens, cancelling as a host can have consequences, so read each platform's current policy first.

What still needs a person

A channel manager moves dates; it does not decide whether a late booking is worth taking, or resolve a conflict between two guests. Keep a weekly spot-check of the next 60 days across all channels, and handle exceptions yourself. For the wider picture of what to automate, see how to automate your Airbnb business.

Frequently asked questions

›How often does Airbnb update an imported iCal calendar?

Airbnb's help centre says calendars refresh automatically every 3 hours, and you can use a Refresh button for a faster update, though too many manual refreshes mean waiting for the next cycle. Airbnb imports up to 2 years of data.

›How often does Booking.com import a connected calendar?

Booking.com's Partner Hub says: "Our platform automatically imports any connected calendar every two hours, but you can manually update the imported data by clicking Import now." The same page says calendars "aren't synced in real time and can take up to two hours to refresh." Eligibility includes "Your property has 20 room types or fewer" and "Each room type has a maximum of one unit."

›Can I get double bookings with iCal?

Yes. Each platform polls the other's feed on its own timetable, so a night booked on one platform stays open on the other until the next refresh. That window is the cause of most iCal double bookings.

›Does iCal sync prices or messages?

No. An iCal feed describes booked or blocked dates. Prices, guest messages, reviews and listing content do not travel through it. A channel manager with API connections can carry more, depending on the platform.

›Can I use iCal and a channel manager together?

You generally should not mix them for the same listing. Vrbo explicitly blocks calendar import when a property is managed through third-party property management software, and layering feeds on top of an API connection can produce conflicting blocks.

›What if a double booking happens anyway?

Contact the guest and the platform quickly, offer a comparable alternative, and check each platform's cancellation rules for hosts before cancelling, since host-initiated cancellations can carry penalties. Then shorten your sync gap or move to a channel manager.
