How to Automatically Notify Your Airbnb Cleaner After Every Checkout

Connect your booking calendar to a cleaning app such as Turno, Properly or Breezeway (or to your property management system), and every checkout creates a cleaning job and alerts your cleaner automatically. Use an API or PMS connection where you can; iCal links work but carry less detail and can lag.

Key takeaways

  • The reliable chain is booking calendar, then a cleaning app or PMS, then a notification to the cleaner; the weakest link is usually the calendar feed.
  • Turno says it is an official Airbnb software partner and offers an API connection as an alternative to iCal; Breezeway and Properly also list Airbnb integrations.
  • Airbnb says its own calendar refreshes imported calendars every three hours, so iCal-based chains are not instant.
  • Always run a test booking, a same-day booking and a cancellation before relying on the automation.
  • Automation tells the cleaner when to go; it does not confirm the clean happened unless you use checklists or photos.

To notify your Airbnb cleaner automatically after every checkout, connect your booking calendar to a cleaning app or property management system (PMS), add your cleaner to the property, and switch on automatic job creation. From then on, each reservation generates a cleaning job tied to its checkout date and the cleaner is alerted without you sending a text. This guide is based on vendor and Airbnb documentation, not hands-on testing.

How the automation chain works

Every version of this workflow has four links:

  1. Booking data. Airbnb creates or changes a reservation.
  2. Calendar connection. An API connection, a PMS or an iCal link passes the dates onward.
  3. Job creation. A cleaning app turns the checkout date into a job with a time window.
  4. Notification. The app alerts the cleaner and, ideally, you when the job is accepted and completed.

If any link is slow or broken, the cleaner finds out late. The calendar connection is the link most worth choosing carefully. For the app choice itself, see our roundup of cleaning scheduling apps.

Method 1: API connection to a cleaning app

Turno states that it is an official Airbnb software partner and that you can import listings from Airbnb via integration instead of an iCal link, which it says provides an easier setup, enhanced guest and reservation data, and faster booking updates. Breezeway and Properly both list Airbnb among their integrations, and Properly says its Pro plan includes direct PMS API integration.

Method 2: Through your PMS

If you already run a PMS, connect the cleaning app to the PMS instead of directly to Airbnb. This keeps one source of truth across channels. Turno, for example, lists integrations with several PMS products, and Breezeway and Properly each list integrations with Guesty and others. Check the exact PMS name on the vendor's integrations page before you commit. See our PMS roundup.

An iCal link works for any platform that can export one. In Airbnb, you export your calendar link and paste it into the cleaning app. Airbnb notes that it refreshes imported calendars every three hours, and different sites update on different schedules; how quickly a third-party app re-reads your exported link is the app's choice, not Airbnb's. In practice, assume iCal chains can lag, and test them with a same-day booking.

Which method for which host

  • One listing on Airbnb only: the app's Airbnb integration, if it has one, or iCal if it does not. The gap matters less when there is a single quiet calendar and a buffer day.
  • Two or more channels: a PMS or channel manager as the source, with the cleaning app reading from it. That avoids the situation where the cleaner is told about a Vrbo booking that Airbnb has not yet shown. Vrbo says imported calendars sync every 30 minutes and that calendar import is not available when third-party software manages the property, so a PMS connection replaces iCal rather than sitting alongside it. See how to sync Airbnb, Vrbo and Booking.com.
  • Direct bookings too: make sure your direct-booking tool also reaches the cleaning app, otherwise those stays will never create a job.

A worked timeline (illustrative)

This example shows why the calendar link matters. Suppose a guest books a same-day stay at 9:00 and an iCal-based cleaning app reads your link every few hours; the cleaner may not hear about the stay for hours. With an API or PMS connection, the job can exist within minutes. We cannot state any one app's real polling interval, so treat these numbers as a scenario, not a measurement, and measure your own chain with the tests below.

Step-by-step setup (Turno-style example)

The screens differ by app, but the sequence is the same everywhere.

  1. Create an account and add the property. Enter the address, bedrooms, bathrooms, access instructions and any parking or lockbox notes.
  2. Connect the calendar. Choose the Airbnb integration if offered; otherwise paste your exported iCal link. If you also list on Vrbo or Booking.com, connect those too, or connect through your PMS so a booking anywhere triggers a job.
  3. Add your cleaner. Invite them by phone or email, or choose one from the app's marketplace if it has one. Set their price per property if the app pays them, because prices are set per property.
  4. Set job rules. Choose default cleaning duration, whether same-day turns are allowed and how far ahead cleaners can see the schedule.
  5. Build the checklist. List tasks by room, and add photo requirements where the app supports them.
  6. Turn on automatic scheduling. Confirm that new bookings, changes and cancellations update jobs.
  7. Choose who gets notified. Make sure you, a co-host or a manager gets alerted when a job is accepted, declined or finished.

Set up your cleaner for success

A notification only works if the person receiving it can act on it.

  1. Ask how they prefer to be notified. Breezeway and Properly describe mobile apps for field staff, and Properly lists push reminders. Check whether a cleaner without a smartphone can be reached by text or email in your chosen product.
  2. Explain acceptance. Tell the cleaner that a job is not confirmed until they accept it in the app, and what to do if they cannot.
  3. Share access once. Put lockbox or smart-lock instructions in the property record, not in repeated texts.
  4. Agree response times. For example, a reply to a same-day job within an hour. Pick numbers that suit your cleaner and write them down.
  5. Explain how to report issues. Damage, missing items and maintenance problems belong in the checklist notes with photos, not in a separate chat. See our guide to maintenance software if issues pile up.

What the notification should contain

Whatever the tool sends, check that it includes the property name and address, the checkout time, the deadline by which the home must be ready (the next check-in), the number of guests and any special instructions such as pets or a heavy-use stay. If your tool lets you edit the message, add parking and access notes. If it does not carry the next check-in time, the cleaner cannot prioritise, which is the most common reason a same-day job slips.

When the standard chain breaks: troubleshooting

SymptomLikely causeWhat to check

A fallback you can run yourself

If your chosen app cannot meet one of your needs, an automation platform can send a message from a calendar event or booking trigger. That means you maintain the workflow, handle failures and manage what happens when a booking changes. It is a reasonable second layer for notifications, but a poor substitute for a tool that already understands cancellations and extensions. Our Zapier and Make workflows guide walks through the patterns.

Test before you trust it

Run these five tests and write down the result for each:

  • New booking: create a test block or a real near-term booking and confirm a job appears.
  • Same-day turnover: confirm the cleaner is alerted with the right time window.
  • Extension: extend a stay and confirm the job moves.
  • Cancellation: cancel it and confirm the job is removed and the cleaner is told.
  • Gap nights: check what happens when two checkouts fall on adjacent days with a long vacancy between them.

If a test fails, the usual cause is the calendar feed or a missing property mapping, not the app.

What the automation does not do

  • It does not confirm the clean was good. Use checklists with photos, or an inspection step if you cannot visit.
  • It does not replace a backup cleaner. If your only cleaner declines, someone must reassign the job.
  • It does not notice a stale feed. If the connection silently breaks, no jobs are created; schedule a weekly check of upcoming bookings against upcoming jobs.
  • It does not decide late checkout or early check-in. Those requests change the cleaning window, so someone has to approve them and update the plan. For automating those requests, see how to automate Airbnb upsells.

Costs to expect

Pricing changes, so check each vendor. As of October 2026, Turno's help center says its subscription is free for single-property accounts and for properties using only marketplace cleaners, and otherwise about $10 per property per month ($8 billed annually); payment fees may apply. Properly lists $12.99 and $14.99 per property per month with a 30-day free trial. Breezeway lists a free first property and Host Essentials from $19 per unit per month for hosts with fewer than five properties.

A weekly reconciliation habit

Spend five minutes once a week comparing your next two weeks of Airbnb check-outs with the jobs in your cleaning app. Any checkout without a job means the feed has broken or a property is unmapped. Repeat the check after changing listings, reconnecting accounts or switching software. This catches the failure the other tests cannot, which is a connection that worked last month and quietly stopped.

Common mistakes

  • Using one calendar for several units. Each listing needs its own feed and its own job rules.
  • Forgetting the buffer. Block a turnover buffer in your listing so back-to-back stays leave time for cleaning.
  • Skipping the cancellation test. A cleaner arriving at an empty property erodes trust.
  • No named backup. Decide in advance who covers a declined or missed job.
  • Mixing up notification and acceptance. A sent alert is not a confirmed job; require acceptance in the app.
  • Notifying the cleaner at checkout only. The cleaner needs the booking when it is made, not when the guest leaves, so schedules can be planned.
  • Ignoring early check-in and late checkout. Approved changes alter the cleaning window; update the job.
  • Using personal numbers for everything. Keeping all instructions in text threads makes handovers to a new cleaner or co-host painful.

Going further

Once the basic chain works, you can add check-in and checkout messages to guests, smart-lock code changes and inventory reminders. Our hands-off tech stack guide shows where this fits, and Airbnb workflows with Zapier and Make covers custom automations. See also the automation stack overview.

Frequently asked questions

›How do I get my cleaner notified automatically after checkout?

Connect your Airbnb listing to a cleaning app or your property management system, add your cleaner to the property, and turn on automatic job creation. The app creates a cleaning job for each reservation and notifies the cleaner when the booking arrives and when the schedule changes.

›Does my cleaner need to install an app?

Breezeway and Properly both describe mobile apps for cleaners and field staff, and Turno says cleaners are notified instantly. Check each product's current notification options (app, text or email) before assuming a cleaner without a smartphone will be covered.

›What if a guest extends or cancels?

Turno states it updates the schedule for you and your cleaner when a guest extends or cancels. Whichever tool you use, test a cancellation and an extension, because iCal-based connections can take hours to reflect changes.

›Is iCal good enough?

iCal works for basic availability but carries limited reservation detail, and updates depend on how often the receiving app re-reads your link. Turno describes its API connection as giving enhanced guest and reservation data and faster updates, so prefer an API or PMS connection when you have the choice.

›Can I do this with Zapier or Make instead?

Yes, in principle, by triggering a message from a booking or calendar event, but that needs more setup and you maintain it yourself. See our guide to Airbnb workflows with Zapier and Make before building your own.

Verification notes

  • Turno's help-center pages blocked automated fetching; the Airbnb API and iCal descriptions come from search excerpts and Turno's blog.
  • How often third-party apps re-read an Airbnb iCal link is not documented by Airbnb; test your chosen app.
  • The worked timeline is a hypothetical scenario; no third-party app's real iCal polling interval was verified.
