Best Vacation Rental Maintenance Software to Automate Repairs & Work Orders
For most hosts, Breezeway is the strongest dedicated option for maintenance because it adds work orders, preventative maintenance and inventory to cleaning tasks, with a free first property. Properly suits photo-based inspections, Operto Teams and EZcare suit managers with staff, and Jobber is for the contractor who does the repairs.

Facts last verified October 19, 2026. Evaluated from official documentation and public sources; not hands-on tested.

Key takeaways
- Dedicated maintenance features are concentrated in operations platforms such as Breezeway, Operto Teams and EZcare rather than in cleaning-only apps.
- Breezeway lists a free first property and Host Essentials from $19 per unit per month (as of Oct 2026); larger tiers are quoted.
- Properly focuses on photo-based checklists and inspections at $12.99 to $14.99 per property per month, plus $5 per expert inspection.
- Jobber is general field-service software for contractors, from $29 per month billed annually, and does not sync rental calendars.
- Software tracks and schedules repairs; it does not diagnose problems or perform them, and it cannot replace a reliable local handyman.

The best vacation rental maintenance software for most hosts is Breezeway, because it combines work orders, preventative maintenance scheduling and inventory with cleaning tasks, and its first property is free. Properly is the better fit if photo-verified inspections are your priority, Operto Teams and EZcare suit managers with staff and owner billing, and Jobber is a contractor's tool rather than a host's. This article is based on vendor documentation and pricing pages, not hands-on testing. Prices are as of October 2026.
What maintenance software does, and what it does not
Maintenance software gives repairs an owner, a due date and a record. At minimum it should let you log an issue (with photos), assign it to a person or vendor, track its status, and schedule recurring jobs such as filter changes or smoke-detector checks.
It does not find the problem, perform the repair or negotiate with vendors. It also cannot tell you a property is vacant unless it reads your booking calendar, which is why tools built for rentals tend to be more useful here than generic contractor software.
For a small portfolio the honest alternative is a spreadsheet and a good handyman. Software becomes worthwhile when you have several properties, multiple vendors, or owners who expect itemised billing.

1. Breezeway: best overall for small portfolios
Breezeway lists automated work-order systems, preventative maintenance scheduling and inventory tracking alongside cleaning and inspection tasks, with a mobile app and photo proof requirements for field staff. Its Guide welcome book lets guests report issues that create tasks automatically, and two AI agents are described: a Controller that sends daily alerts and assigns tasks, and a Concierge for guest messages.
What it automates and what it does not. The vendor lists work-order automation and tracking, preventative maintenance schedules, custom inspection checklists, issue reporting with documentation, maintenance cost tracking and vendor management, plus a mobile app in 10 languages and photo proof requirements. It will create and route tasks and keep a history; it will not decide whether a repair is worth doing or diagnose a fault.
Who should avoid it. A host with one property who already has a dependable handyman and no preventative schedule to manage. Also avoid buying a higher tier before you have seen what the free first property reveals about your own workload.
Pricing. A free first property; Host Essentials from $19 per unit per month for fewer than five properties; Essential Ops, Operations Pro and the Ops + Guest Experience Suite are custom quotes, with volume discounts at five or more properties.
Pros
- One task system for cleaning, maintenance and inspections
- Free first property
- Guest-reported issues can become tasks
Cons
- Most tiers need a quote
- Heavier than a single-listing host needs
Ideal portfolio: 1 property on the free plan; the paid tiers make most sense from roughly 3 to 100+ units (our read).
2. Properly: best for photo-based inspections
Properly is best known for photo checklists and its Real-Time Inspection add-on, where expert reviewers with AI assistance check the work for $5 per inspection. It also describes an "Actionable Intelligence" feature that converts property walkthroughs into maintenance notes and checklists. On the page reviewed it also mentions tracking maintenance and safety notes and giving restock and refill guidance. We did not find a dedicated work-order module described on the pages we reviewed, so treat it as inspection-first rather than a full maintenance system.
Pricing. Standard $12.99 and Pro $14.99 per property per month; 30-day free trial; managed services from $119 per active property per month.
Pros
- Transparent pricing
- Photo evidence of condition at every turnover
Cons
- Work-order depth unconfirmed
- Inspection fees accumulate with volume
Ideal portfolio: 1 to 100+ properties.
3. Operto Teams: best for staff-heavy operations
Operto Teams lists maintenance tracking and preventative maintenance planning, customizable digital checklists, photo and video verification, real-time inventory with automated reorder thresholds, and owner billing for replacements with time-stamped proof. It says it connects with Airbnb, Vrbo and 150+ third-party solutions. No price is published.
The vendor describes a staff app with multi-language dashboards where team members receive assignments and submit completion evidence, inventory and linen tracking, and payroll and time reports. Who should avoid it: hosts with no employees, since much of the product assumes a team, and anyone who needs a published price to compare today.
Ideal portfolio: roughly 20 or more properties with an in-house team (our read).
4. EZcare: best for owner billing
EZcare describes mobile work orders that flow directly to owner statements, inspection forms with photo or video, inventory scanning and linen management. The vendor describes end-to-end maintenance automation, from instant issue reporting to work-order completion and automatic submission to your PMS, with labor and parts data uploaded to owner statements through PMS integrations. That owner-statement link is its most distinctive claim for managers who bill owners for repairs. The page does not name the PMS products it connects to, so ask which ones before a demo. We could not verify its pricing or full integration list.
Ideal portfolio: managers handling owner statements (our read).
5. Jobber: best for the contractor you hire
Jobber is general field-service software. It handles job scheduling and routing, quotes, invoices and online payments. As of October 2026 plans start at $29 per month billed annually (Core), with Connect from $70, Grow from $105 and Plus from $280; extra users are $29 per month each. It does not read rental calendars, so it will not know when a unit is vacant. Recommend it to your handyman or HVAC company rather than adopting it yourself, unless you run your own repair crew.
A later fetch of the pricing page showed Core at $21 per month on annual prepayment alongside a promotional discount, while the earlier figure above was $29. Jobber changes its prices and promotions often, so use the vendor's page on the day you buy. Per that page, Connect (from $70) adds automated reminders, checklists and QuickBooks sync, Grow (from $105) adds job costing and custom automations, and a 14-day free trial of Grow is offered. Extra users are $29 per month each.
Who should avoid it as a host: anyone expecting vacancy awareness, guest-issue intake or owner statements, because those are not what the product is built for.
Where cleaning apps fit
Turno, covered in our cleaning scheduling roundup, also lists an inventory management feature, but it is primarily a cleaning tool. If your problem is cleaning, start there; if repairs, inspections and supplies are the bigger headache, one of the platforms above may save you running two systems. Several property management systems also have task features; see our PMS roundup.
Choosing by portfolio size
- One or two properties: a shared task list, a photo habit and a named handyman usually do the job. If you want software, Breezeway's free first property or Properly's trial are low-risk ways to test the routine.
- Three to ten properties: the number of vendors and recurring tasks makes a tool worthwhile. Compare Breezeway's published Host Essentials price with Properly's per-property pricing, depending on whether work orders or photo inspections are the bigger need.
- Ten to fifty properties: you probably need defined roles, approval limits and cost tracking per property. Ask for Breezeway quotes and consider Operto Teams or EZcare if you employ staff.
- Owner-billing managers: prioritise the path from a work order to an owner statement and confirm it works with your PMS.
Worked example: setting an approval limit (illustrative)
Suppose a host sets a $150 pre-approval limit for any single repair. A $90 faucet cartridge replacement is booked straight away by the handyman, and the work order is closed with a before-and-after photo. A $600 water-heater quote falls above the limit, so the software (or you) holds it for approval. The numbers are invented for illustration; choose a limit based on your margins and your vendor's rates. The benefit is that small fixes are not stuck waiting for you, while large spend still gets a decision.
Triage: urgent versus routine
| Priority | Examples | Suggested handling |
|---|---|---|
| Urgent (safety or stay-ending) | No heat in cold weather, active leak, door will not lock, gas smell | Alert you and a named vendor at any hour; contact guests; licensed professional for gas or electrical |
| High | Appliance down, hot water out, broken window latch | Same-day or next-day vendor visit |
| Routine | Loose cabinet hinge, burnt-out bulb, scuffed paint | Batch into a scheduled visit between stays |
| Preventative | Filter changes, detector tests, seasonal checks | Recurring task with a due date |
The categories are our suggestion. Define your own and write them into the tool so cleaners and staff classify issues the same way.
How issues actually get reported
- Cleaners and staff are the most reliable source, because they see the property at every turnover. Make a photo and a short note mandatory in the checklist.
- Guests can report problems by message or, with Breezeway's Guide, through the welcome book. Guest reports are useful but unstructured; convert them into tasks quickly. If you use an automated messaging tool, check whether it can pass a complaint to you; see our guest messaging comparison.
- Devices such as leak sensors can alert you directly. Whether an alert can create a work order depends on your platform and on custom automation, so confirm it before assuming. Our smart home guide covers the devices.
Keep records that help with claims
Photos taken at each turnover, with timestamps, give you a baseline for what condition the property was in. Properly describes timestamped photo documentation, and Operto Teams describes owner billing for replacements with time-stamped proof. If a guest causes damage, a consistent record of the property before and after the stay makes a claim to the platform or a protection provider easier to support. The record is only as good as your routine, so make it part of every turnover.
Questions to ask a vendor
- Can a cleaner or guest create a task with photos, and can I set who is alerted?
- Can I set recurring tasks per property and per asset?
- How are vendors invited, and do they need an account?
- Does cost information flow to owner statements or accounting, and which PMS does it connect to?
- What is the price after the free tier or trial, and what happens to my data if I leave?
- Does it read my booking calendar so work can be scheduled into vacant windows?
How to set up a maintenance workflow
- Inventory your assets. List appliances, HVAC units, water heaters, locks and detectors with locations and install dates.
- Create recurring tasks. Examples: HVAC filter changes, smoke and CO detector tests, water-heater flush, gutter checks. Set frequencies from manufacturer guidance.
- Define who can report. Cleaners, guests (if the tool supports it) and you. Photos should be required.
- Set priorities. Decide what counts as urgent (no heat, leak, lock failure) and who gets alerted at any hour.
- Assign vendors. Keep a named first and second contact per trade.
- Set approval limits. Pre-authorise small repairs up to a dollar threshold so a vendor does not wait for you.
- Review monthly. Look for repeat issues; recurring breakage usually points to a root cause.
What still requires a human
- Diagnosing the problem and choosing repair versus replace
- Hiring, vetting and paying vendors
- Safety-critical work (gas, electrical, structural), which should go to licensed professionals
- Judging whether damage was caused by a guest and documenting it for a claim
Common mistakes
- Buying software before you have a vendor. A task nobody can perform is just a to-do.
- Allowing unphotographed reports. Without photos, urgency is a guess.
- Ignoring preventative tasks. The value is in avoiding mid-stay failures.
- No approval threshold. Every small repair waiting for you adds days.
- Logging cost but not cause. Without a note on why something failed, you cannot spot a pattern.
- Scheduling work in occupied windows. Use the calendar to put non-urgent jobs between stays, not during them.
- Assuming the PMS already does this. Task features vary by PMS and we did not review them here, so check yours before paying for a second tool.
Maintenance sits alongside cleaning, locks and monitoring in a larger setup; our hands-off Airbnb tech stack guide and the automation stack overview show how the pieces fit.
Frequently asked questions
›What is vacation rental maintenance software?
It is software that logs repair requests, creates and assigns work orders, schedules recurring tasks such as HVAC filter changes, tracks supplies and keeps a record of what was done. Some tools also take reports directly from guests or cleaners. Breezeway describes work orders, preventative maintenance scheduling and inventory tracking; EZcare describes mobile work orders that flow to owner statements.
›Do I need maintenance software for one Airbnb?
Usually not. A shared note, a trusted handyman and a cleaning app with a checklist may be enough. Maintenance software starts to pay off when several properties, several vendors or owner billing make memory and text threads unreliable. Breezeway's free first-property plan lets you try one without a commitment.
›Can guests report problems into the system?
Breezeway's Guide welcome book lets guests submit issues that automatically create tasks for team members, according to the vendor. Other tools may rely on cleaners or hosts logging issues, so check how each product captures reports.
›Is Jobber suitable for hosts?
Jobber is built for service contractors, with job scheduling, quotes, invoices and payments. A host can use it, but it does not read booking calendars or know when a property is vacant, so it fits better in the hands of your handyman than in yours.
›Can smart-home devices trigger work orders?
Some platforms connect with devices, for example Breezeway lists smart locks as a paid add-on. Whether a leak sensor or thermostat alert can create a work order depends on your platform and on custom automation; confirm this before you buy.
